Call for Volunteers

The Call for Volunteers is officially closed!

Volunteers are the one who serves as a face of the event, especially for an event like WordCamps. Volunteers are a vital part of the team who can ensure the uninterrupted flow of the event and make it successful. We are currently looking for a passionate and energetic individual to be part of the ever-growing WordPress Community and WordCamp Asia 2020.

WordCamp Asia 2020 first-ever flagship event in this region. It’s an excellent opportunity to be part of this event and get more involved with the WordPress Community in this region.

The responsibilities of a volunteer may include:

  • assisting a speaker,
  • running the help desk,
  • supporting the participants,
  • managing the tools and accessories to set-ting up mics,
  • emceeing (if you are interested),
  • handling other technical parts,
  • and many more!

However, we understand each individual comes with a unique talent. So, considering your abilities and area of interest, our organising team is flexible enough to assign you with the responsibilities. You can even volunteer as bloggers, photographers, designers or even website administrators. We will use all the help that you can provide. As long as you’re committed to make WordCamp Asia an enjoyable and memorable event for everyone, including yourself, that’s enough!

Also, you will receive a volunteer T-shirt/swag and different goodies and recognition.

We welcome everyone who wants to give their time helping the community. If you are a friendly, helpful and responsible person, you are a good fit to join. Don’t worry about your background, every volunteer has different talents and you can contribute according to your skills and interest.

Note: If anyone who bought a ticket and application as a Volunteer is selected, their money for the ticket will not be refunded.


Volunteer Roles

Here’s a detailed role a volunteer must perform during the event. This may help you choose your preferred volunteer role and get an idea about the task you need to perform.

Hall Leader

  • Take charge and be responsible for Volunteers team organisers
  • Act as a connector between Sponsors/Speakers/Volunteers
  • Ensure that all Volunteers are in their position and performing the assigned tasks
  • Coordinate with Team Leads for any complications

Time Keeper

  • Communicate with the speakers and emcee about time limits and warning signs
  • Coordinate with Hall Lead and ensure sure that talks start and end on time
  • Explain the signs you’ll show the speakers to indicate the time and Show the ‘remaining time’ cards during their session
  • Make sure everything is conducted within the given timeframe.

Door Guard

  • Welcome people with a smile at the door.
  • Make sure the door is open at the time of entering or leaving.
  • During the session, ensure that people enter or exit a room in a quiet manner
  • Close the door when the session starts
  • Ensure the room does not exceed its capacity

Tech Helper

  • Assist speakers with tech check, setup and anything else they need
  • Make sure that mic, speakers, projectors and other tech stuff are in working order
  • Be alert to solve any issue related to tech

Runner

  • Coordinate and assist the Hall Lead with anything that might be needed in the room
  • Be ready to help with anything and everything and super speedy in resolving last-minute issues
  • Run microphones during Q&As

Registration Lead

  • Guide Attendees to Registration desks and make sure that everyone is registered to the event
  • Keep track of Attendees registration
  • Coordinate with Volunteers and Organising team
  • Make sure you have good communication skills and effectively 

Registration Support

  • Provide information about the event
  • Assist attendees with their seating position and find correct queues
  • Check all details in tickets and hand out badges
  • Handle spot registration and payment process

Swag Store Support

  • Set up the swag table and keep it in good order
  • Check for swags and ensure their availability on tables
  • Handout WCAsia swag to Attendees and keep track of receivers

Communication Support 

  • Be a bridge between the Photo/videography team and Communication team
  • Select, edit, rename and save images and videos and provide these when needed.
  • Make sure that every session or the event is properly recorded.
  • Time constraints are the important factor so be quick and responsive.

Social Media Handler

  • Keep updating about the event by sharing photos and videos of the event on WordCamp Asia social accounts
  • Ensure that every comments and message are responded
  • Help Attendees with social media if needed and ask them to use important #hashtag.
  • Create a greater richness of the event through social media and you can be as creative, informative or humorous with the post as required.

 Media Coordinator 

  • Coordinate with Media Partners
  • Provide necessary news and information to media handler
  • Help in setting up and conduct the interviews

Speaker Support

  • Ensure that speakers arrive at the correct time
  • Coordinate between the speaker and technical team and make sure that speakers’ requirement is met
  •  Check and assist the next speaker with their setup and anything they need

Sponsor Support

  • Check if speakers need anything from start to end of the event.
  • Help resolve minor issues and reach out to a Sponsor Wrangler for bigger issues
  • Ensure that any issue raised by Sponsors is addressed to respective Lead

KidsCamp

  • Assist KidsCamp teachers with technical support
  • Guide the children to the Camp and assist if they need anything
  • Be friendly and kind to the children and assure that they are safe

Volunteers Support

  • Assist Volunteers for anything they might need during their shift
  • Provide support on other Volunteers shift
  • Handle request by other Volunteers in #volunteer Slack channel
  • Make sure that the volunteers are too Volunteered with all needs.

Contributor Day

  • Help onboard contributors on WordPress.org and Slack setup
  • Guide new contributors navigate make.wordpress.org
  • Be open to questions, welcoming and friendly
  • Help another volunteer on the conference day as Volunteer support

After Party

  • Set up the after-party venue with all the requirements
  • Make sure that everyone is fully entertained including yourself.
